Works Closely With: Executive Assistant & DAWN Marketing

The Paso Robles & Templeton Chamber of Commerce is seeking an organized, creative, and community-minded Event Manager to lead the planning and execution of events that support local businesses, strengthen community engagement, and enhance the visibility of our organization.

This role is ideal for someone who thrives in a fast-paced environment, enjoys building relationships, and has a passion for creating memorable experiences that bring people together.

Position Summary

The Event Manager is responsible for overseeing the coordination, logistics, promotion, and execution of Chamber events throughout the year. This includes signature community events, mixers, ribbon cuttings, networking opportunities, leadership programming, and special initiatives.

The ideal candidate is highly organized, detail-oriented, collaborative, and capable of managing multiple projects simultaneously while maintaining a positive and professional presence.

Key Responsibilities

Event Planning & Execution

  • Plan, coordinate, and execute Chamber events from concept to completion

  • Manage timelines, budgets, logistics, vendor coordination, permits, and event operations

  • Oversee event setup, staffing, volunteer coordination, and breakdown

  • Ensure events align with Chamber goals, branding, and community impact initiatives

  • Troubleshoot issues and provide on-site event management

Vendor & Sponsor Relations

  • Recruit and communicate with vendors, sponsors, entertainers, and community partners

  • Maintain strong relationships with local businesses and stakeholders

  • Assist in securing sponsorships and in-kind donations for events

 

Marketing & Promotion

  • Collaborate with the marketing team to promote events through social media, email campaigns, website updates, and community outreach

  • Assist with event materials including flyers, signage, programs, and sponsorship packets

  • Support member engagement and attendance growth strategies

Administrative & Operational Support

  • Maintain event calendars, contracts, invoices, and records

  • Track event budgets and prepare post-event reports

  • Coordinate registrations, ticketing, and attendee communication

  • Attend Chamber meetings, mixers, and community functions as needed

Qualifications

  • 2+ years of experience in event planning, hospitality, nonprofit, marketing, or related field preferred

  • Strong organizational and project management skills

  • Excellent written and verbal communication abilities

  • Ability to multitask and work under deadlines

  • Experience coordinating vendors, sponsors, and volunteers

  • Proficiency in Microsoft Office, Google Workspace, and social media platforms

  • Familiarity with event software and CRM systems is a plus

  • Ability to lift up to 25 lbs and work evenings/weekends for events as needed
